What is AI automation?

AI automation is software that handles work that used to need a person to read, decide and act. Ordinary automation follows fixed rules. AI copes with the messy part: emails, PDFs, photos, phone calls and handwriting. A person still approves what matters.

AI automation versus ordinary automation

Ordinary automationAI automation
Works fromFixed rules you writeInstructions and examples, plus your own data
Good withTidy forms and the same steps every timeMessy emails, PDFs, photos, calls and handwriting
When something’s differentIt stops, or gets it wrongIt works out what it can and asks a person about the rest
ExampleA form arrives, so add a row to a spreadsheetRead a supplier invoice, match it to the order and flag the overcharge

One warning. Plain rules are cheaper and more predictable, and RAND’s interviews describe teams told to use AI where a few if-then rules would do. A good build uses the plainest thing that works, and adds AI only where the work is too messy for rules.

What it looks like in a real business

Start with your most expensive people, because that’s where the money is.

  • Estimating. Reads the drawings, does the take-off and prices it from your past jobs, ready for your estimator to check.
  • Project admin. Builds progress claims and variations from what’s been done on site.
  • Compliance. Tracks tickets, licences, rego and insurance, and chases them before they lapse.
  • Accounts. Reads invoices overnight, matches them to orders, codes them and holds anything that looks wrong.
  • Sales. Answers enquiries day or night, follows up every quote and books the job.
  • Reporting. Reads what moved overnight and gives you a brief at 7am with what needs you today.

Automating a small nuisance feels good. Automating the repetitive part of your dearest people’s week pays. Here are 40 more examples.

What AI automation can’t do

It won’t carry your judgement or your relationships. It gets things wrong, and it sounds confident when it does, so anything that costs money or reaches a customer should wait for a person. It can’t fix a process nobody can explain, either. Our test is simple: if you can explain it, we can automate it. If you can’t, that’s the first job.

Off-the-shelf tools or a custom build?

If it’s a few apps and a simple rule, use Zapier or Make and keep your money. They’re good at that. Custom pays when the work spans several systems, runs on messy documents or depends on your own pricing and rules, and when the wages at stake are large. You get one system that fits how you work, in accounts in your name, instead of a stack of subscriptions someone has to babysit.

How to keep it safe

Run it in accounts in your name. Start read-only. Give it the least access it needs. Have a person approve anything that leaves the business, and log every step. We go through ours line by line on our security page.

How to start

Don’t start with a tool. Start with a list of what your team does all week and what each hour costs. How to implement AI in your business walks through it, and the audit is how we do it for you.

Questions, answered first

What’s an example of AI automation?

A supplier emails a PDF invoice. The software reads it, matches it to the purchase order, codes it to the right job and flags that one line is overcharged. Someone in accounts approves it in seconds instead of keying it in.

Is AI automation the same as RPA?

No. RPA, or robotic process automation, clicks through screens by fixed rules, which suits tidy, repeatable work. AI reads and judges messy work. Plenty of builds use both.

Can AI automate work that’s still on paper?

Often, yes. It can read handwriting on a docket or form from a phone photo and put it into your system, with a person checking anything it’s unsure of.

Will it work with the software we already use?

Usually. We plug into what you already run, like Xero, OneDrive and your inboxes. If having everything in one place would be cheaper and easier, we’ll show you the numbers and you can decide.

How long does AI automation take to set up?

A simple one can take days. A build across a whole function takes weeks, not months, and starts with an audit so you know it’s worth doing.
