What can AI automate in a business?

Anything a computer could do, plus a lot that’s still on paper. If you can explain the job, it can probably be automated. Here are 40 examples, starting with your most expensive people and finishing with the ones most owners have never thought of.

Forty jobs, by who does them now

Estimating and quoting

  • Do the take-off from a full drawing set
  • Price a job from your own past costs
  • Write the tender or proposal in your wording
  • Turn a voice note into a job and a quote
  • Follow up every quote until there’s a yes or a no
  • Show why you won or lost, by customer

Project admin

  • Build progress claims from what’s been done on site
  • Flag variations before they cost you
  • Chase subcontractor paperwork
  • Turn site photos into a daily report
  • Check the finish on a job from a photo
  • Rebuild the roster when a job runs over or someone calls in sick

Compliance and safety

  • Track tickets, licences, rego and insurance
  • Stop anyone unqualified being sent to site
  • Spot a missing harness on a site camera
  • Check safety documents are current
  • Keep the paperwork ready for an auditor

Accounts and payroll

  • Read, match and code supplier invoices overnight
  • Catch overcharges against the order
  • Check timesheets against the award
  • Chase overdue invoices in your tone
  • Close the month in a day
  • Show which jobs and customers make money

Sales and customers

  • Answer every enquiry, day or night
  • Answer the phone in your own voice
  • Book the job straight into the calendar
  • Bring past customers back
  • Send past customers a personal video from you
  • Keep customers updated so nobody has to ring

Running the business

  • Search every email, file and call since day one, with the source for each answer
  • Interview old hands and save what they know
  • Train a new starter by voice on their phone
  • Write a 7am brief of what moved overnight
  • Spot burnout in the overtime before someone quits

Ones you won’t have thought of

  • Read the handwriting on a paper docket
  • Haggle with suppliers inside limits you set
  • Hear a machine going bad before it breaks
  • Count your stock from a photo of the yard
  • Render a client’s home in 3D to exact measurements
  • Film a site on your phone and get a measured scope back

What not to automate

Anything where the whole point is you: the call with a difficult client, the decision to walk away from a job, the handshake. It also shouldn’t have the last word where a wrong answer costs money or reaches a customer. The privacy regulator wants people told when they’re dealing with AI, so an agent on your phones should say what it is.

What to automate first

Not the easiest job. The dearest one. Rank the list by wages, take the top one that’s repetitive, and run the sum. Automating a small nuisance feels good, but your estimator’s take-offs are where the money sits. Then read how to implement AI before you buy anything.

By industry

Every trade has its own version of this list: AI for tradies and field services, AI for solar installers, AI for car dealerships, AI for manufacturers and joiners and AI for fund operations.

Questions, answered first

What tasks can AI automate in a business?

Reading and writing documents, pricing, checking, chasing, booking, reporting and answering calls. If you can explain the job step by step, it’s usually a candidate, including work still done on paper.

What’s the first thing to automate in a small business?

Whatever repetitive job costs the most in wages. For many businesses that’s quoting or accounts. Work out the dollars first, because the easiest job is rarely the one that pays.

Can AI answer the phone for my business?

Yes. It can answer, ask the right questions and book the job. It should tell callers it’s AI and hand over to a person when it needs to.

Can AI read handwritten documents?

Often, yes, including dockets and forms from a phone photo. A person should check anything it’s unsure of.

What should never be automated?

The last word on anything that costs money or reaches a customer, and the relationships your business runs on. Let AI draft and chase, and let your people decide.
